Accounting

The Accounting section handles invoicing, driver settlements, fuel advances, aging reports, and integrations with external financial systems.

Accounting Dashboard

Key financial metrics at a glance including revenue, outstanding invoices, and settlement totals.

How to use it

  1. Navigate to Accounting → Dashboard
  2. Review KPI cards showing revenue, AR balance, and pending settlements
  3. Check the aging summary for overdue invoices
  4. View recent financial activity

Invoices

Create and manage customer invoices tied to delivered loads.

How to use it

  1. Navigate to Accounting → Invoices
  2. View all invoices or filter by status
  3. Click + New Invoice to create an invoice for a delivered load
  4. Click an invoice to view details, record payments, or send to customer

Creating an invoice

  1. Click + New Invoice
  2. Select the load (must be delivered)
  3. Review line items auto-populated from load charges
  4. Set due date (defaults based on customer payment terms)
  5. Click Create Invoice

Recording payments

  1. Open the invoice details page
  2. Click Record Payment
  3. Enter the payment amount, date, and method
  4. The invoice status updates automatically (Partial, Paid)

AR Aging Report

Track outstanding invoices organized by aging buckets (0-30, 31-60, 61-90, 91+ days).

How to use it

  1. Navigate to Accounting → AR Aging
  2. Review the aging summary by bucket
  3. Drill down into specific customers or invoices
  4. Identify overdue accounts needing follow-up

Settlements

Calculate and manage driver pay settlements including line items, deductions, and fuel advance offsets.

How to use it

  1. Navigate to Accounting → Settlements
  2. View all settlements or filter by driver/status
  3. Click + New Settlement to create a driver settlement
  4. Review line items, deductions, and net pay
  5. Approve and process the settlement

Pay calculation methods

  • Per Mile — Rate per loaded/empty mile
  • Percentage — Percentage of line haul revenue
  • Hourly — Hourly rate times hours worked
  • Flat — Fixed amount per load
Tip: Outstanding fuel advances are automatically deducted from settlements when you create them.

Fuel Advances

Issue and track fuel advance payments to drivers for active loads.

How to use it

  1. Navigate to Accounting → Fuel Advances
  2. View all fuel advances by status
  3. Issue new advances tied to specific loads
  4. Track repayment through settlements

Factoring

Manage invoice factoring for faster cash flow.

How to use it

  1. Navigate to Accounting → Factoring
  2. Submit invoices for factoring
  3. Track funded amounts and fees
  4. Reconcile factored payments

QuickBooks Integration

Sync invoices, payments, and financial data with QuickBooks.

How to use it

  1. Navigate to Accounting → QuickBooks
  2. Configure your QuickBooks connection
  3. Map TMS accounts to QuickBooks accounts
  4. Run manual or automatic syncs

1099 Reports

Generate year-end 1099 tax reports for independent contractor drivers.

ACH Payments

Process electronic payments to drivers and vendors via ACH.

Fuel Surcharge

Calculate and manage fuel surcharge rates based on DOE fuel price indices.

How to use it

  1. Navigate to Accounting → Fuel Surcharge
  2. View current fuel surcharge rates
  3. Configure rate tables and thresholds
  4. Surcharges auto-apply to loads when configured
